Follow these steps to create a new user on an account with Business Cloud Communications:
- Go to Account > Business Cloud > Users.
- Click [+ Add User] in the top right.
- Fill out the user's information as detailed below:
When you're done with all four sections, click [Create].
If Voice Portal access has been enabled and the Welcome email has not been blocked, an email will be sent to the user with their account details, including their username and URL for the Voice Portal and a link to create a password.
1. User Information
Field | Description |
---|---|
Name | Enter the customer's first and last name. |
Extension Number | Assign the user a unique extension number. |
Language | Choose the language that will be used in the telephone user interface (TUI) audio prompts for star codes and the Auto-Attendant: English or French. This is separate from the Language setting on the user's Voicemail box, which can be edited once the user is created. |
Time Zone | Select the user's time zone. |
User Tags | This is an optional mechanism to organize and search for users by one or more custom identifiers, such as department, location, or anything else. If it would be useful to search for this user by a particular term, enter it here. See also: User Tags |
Email | Enter the user's email address. This is required if the Voice Portal Access toggle is enabled, but it's optional if the toggle is disabled. |
Username | Enter a unique username which can be used to log in to the end user portal. The username may contain letters and/or numbers, and must be unique across all Alianza partitions and accounts. Consider using the user's email address or phone number. The user can log in to the portal with their email address and/or username, regardless of this setting. |
2. Feature Plan & Voice Portal

Feature Plan | Select the user's feature plan (also known as a license):

Voice Portal Access | This toggle allows you to enable or disable access to the Voice Portal for users with Standard feature plans: Check the box for those who need it, and leave it unchecked for those who don't. Because Advanced and Professional plans come with the UC apps, Voice Portal access is enabled by default and the user's email address is required. Once the user is created, the user will receive an email with their Voice Portal and Cymbus app login information. See also: Voice Portal Access Toggle |
Block the Welcome Email | When a user is created, they are sent an email with their login information for the end user portal and UC app. If you don't want the user to get this email right now, check this box to stop it from being sent. See also: Block the Welcome Email |
Admin Access | By default, End Users only have access to manage their own settings in the Voice Portal. Admin users, however, can manage settings for other users on the account. If this user should have Admin access, enable this toggle and select an admin type below: Super Admin, Advanced Admin, Standard Admin, or Basic Admin. The type selected determines the level of access they have. See also: BCC Admin User Types |
3. Calling Plans
Choose the user's calling plan from the drop-down menu. See Manage a User's Calling Plans for more information.
Field | Description |
---|---|
Calling Plan | Expand the drop-down menu and select a calling plan to assign to this user. |
Number and Device | Expand this field if you want to add a phone number and device to this user's plan. This is separate from the Cymbus softphone device which is created automatically but not listed in the user's devices list. |
4. Number & Device
Click Add Number and Device (Optional) to assign a new phone number and device to this user. You can skip this step and add a device later, if needed.
Code | Description |

Phone Number | Click [+ Add Number], then fill out the required fields. See Add Phone Number for information about these fields. |
Device Type | Select the make and model of the user's device. |
MAC Address | Enter the device's MAC address. |
Line Number | Enter the line number on the device to be activated for this user. |
Line Name | Give the name a line, such as the user's name. |
SIP Credentials | If needed, expand this field to add or generate a SIP username and password. |
